This page explains how to request deletion of your CareWave account and the personal data associated with it. CareWave is a home-care workforce application provided by WAVE TECHNOLOGIES LLC, Kirkland, WA 98034 ("CareWave", "We", "Us").
You may request deletion at any time, free of charge, regardless of how you signed up.
How to Request Account Deletion
To request that your CareWave account and associated personal data be deleted, send an email to hello@carewave.us with the following:
- Subject line: "Delete My CareWave Account"
- The email address associated with your CareWave account
- Your full name as it appears on your CareWave profile
- The agency or employer through which you use CareWave (if applicable)
We will verify your identity, confirm receipt within 3 business days, and complete deletion within 30 days of verification. You will receive a confirmation email when deletion is complete.
If you are a caregiver employed by an agency that uses CareWave, please also notify your agency administrator. Some employment records may be retained by your agency under their own data policies, which are independent of CareWave.
What Data Is Deleted
When your account is deleted, the following data is permanently removed from CareWave's active production systems:
- Your name, email address, phone number, and mailing address
- Your profile photo and any uploaded identification documents
- Your login credentials, PIN, biometric registration, and two-factor authentication settings
- Your push notification tokens and device identifiers
- Voice notes and audio recordings you created
- Chat and message history
- Location data captured during shift clock-in and clock-out
- App usage data and diagnostic identifiers tied to your account
What Data May Be Retained
Certain records may be retained after account deletion where required by law or to fulfill legitimate business obligations. These retained records are kept in a restricted-access archive, are no longer used to identify or contact you for product purposes, and are deleted when the applicable retention period expires.
- Shift, payroll, and timekeeping records: retained up to 7 years as required by U.S. federal and state labor, tax, and Medicaid/Medicare billing regulations.
- Care notes and visit documentation: retained up to 7 years (or longer where state law requires) as part of the client's health record. These belong to the care recipient and the agency providing care, not to the individual caregiver.
- Financial and tax records: retained as required by IRS and state tax authorities (typically up to 7 years).
- Records subject to a legal hold: retained for the duration of any active or reasonably anticipated litigation, investigation, or regulatory proceeding.
- Encrypted backups: may contain copies of your data for up to 90 days after deletion, after which they are overwritten on the routine backup rotation.
Partial Deletion Requests
If you would like to delete specific items (such as individual voice notes or messages) without closing your account, contact hello@carewave.us and describe what you would like removed. We will respond within 3 business days.
